M-POWER Consultants Inc. is an advisory and facilitation practice based in Montreal, Quebec, Canada.

This Privacy Policy explains how we collect, use, communicate, retain, and protect personal information obtained through our website, contact form, email communications, and related interactions.

What we collect

When you contact us, we may collect:

• Your name and contact information.
• Your organization’s name and basic business information.
• Information you include in the contact form, email, or message.
• Information needed to schedule or respond to your request.
• Technical information that may be processed automatically by our website or service providers, such as an IP address, browser type, device information, and the date and time of a visit.

Please do not submit passwords, financial information, confidential client information, or other sensitive information through the general contact form.

How we collect information

We collect personal information when you:

• Complete our contact form, which is hosted by Tally.
• Contact us directly by email.
• Communicate with us about a possible or active engagement.
• Visit our website, where limited technical information may be processed by our hosting provider for website operation and security.

Providing information is voluntary. However, we may be unable to respond or provide a requested service without the information reasonably needed for that purpose.

How we use information

We use personal information to:

• Respond to inquiries and schedule conversations.
• Understand what an organization is looking for.
• Prepare and provide requested services.
• Communicate about an inquiry or active engagement.
• Maintain necessary business, contractual, accounting, and legal records.

We do not sell personal information. We do not share it with third parties for their own marketing. We do not send marketing emails without consent or as otherwise permitted by law.

Service providers and processing outside Quebec

We use a limited number of service providers to operate our website and business. These include Tally, which hosts our contact form, as well as website-hosting, email, storage, and business-technology providers.

These providers may process or store information outside Quebec or Canada. Information processed outside Quebec may be subject to the laws of the jurisdiction where it is processed.

Service providers receive only the information reasonably needed to perform their services and are expected to handle it according to their contractual and legal obligations.

We may also communicate information when required by law or when reasonably necessary to protect our legal rights.

Cookies and tracking

We do not currently use advertising trackers or website analytics tools.

Our website-hosting and form providers may use essential technologies needed to operate, protect, or deliver their services. External websites linked from our site have their own cookie and privacy practices.

If we add analytics, advertising, or other non-essential tracking technologies, we will update this policy and implement any required consent choices before using them.

Retention and destruction

We retain personal information for 3 years after the last contact, unless a longer period is required by law.

When information is no longer required, we securely delete it or arrange for its secure deletion, subject to applicable legal and recordkeeping requirements.

How we protect information

We use reasonable administrative, technical, and organizational safeguards appropriate to the nature and sensitivity of the information.

No method of electronic transmission or storage can be guaranteed to be completely secure. If a privacy incident occurs, we will assess it and take the steps required by applicable law.

Your rights

Subject to applicable law, you may ask us to:

• Confirm whether we hold personal information about you.
• Provide access to that information.
• Correct inaccurate or incomplete information.
• Withdraw consent where processing is based on consent.
• Delete information that we are no longer required to retain.

Withdrawing consent may affect our ability to respond or provide certain services.

Questions and complaints

Questions, access requests, corrections, or privacy complaints can be sent to our Privacy Officer. For a complaint, you may use “Privacy Complaint” as the email subject.

We will review the matter and respond as soon as reasonably possible. If you are not satisfied with our response, you may contact the Commission d’accès à l’information du Québec.
